This Privacy Notice explains how the uclock / TimeCore platform collects, uses, and protects information when you use our websites, applications, APIs, and related services.

Short version: we use data to operate the service, secure accounts, provide support, meet our legal obligations, and improve uclock. We do not sell your personal information.

1.Overview & scope

This notice describes how we handle personal information when you interact with the uclock / TimeCore platform (collectively, the “Service”). It applies to visitors of our public website, account owners, workspace members, and other individuals whose data is entered into the Service.

By accessing or using the Service, you acknowledge that you have read this notice. If you do not agree with it, you should not use the Service.

2.Who this notice covers

Depending on how you use uclock, we may process information about you in different roles:

  • Website visitors – people who browse our public pages or contact us.
  • Account / tenant owners – customers who create a tenant, pay invoices, or manage billing.
  • Workspace members – users who track time, submit approvals, or otherwise use the app.
  • Client and project contacts – individuals whose details are recorded by our customers inside uclock.

For most workspace data (time entries, projects, client information), uclock acts as a service provider / processor. The relevant customer or tenant is responsible for deciding what data to collect and for meeting any legal obligations toward individuals.

3.Data we collect

3.1 Information you provide

Examples of information you or your organization may provide directly include:

  • Account details such as name, email address, password, and contact preferences.
  • Organization and billing details, including company name, tax details, billing contact, and payment information handled via payment processors.
  • Workspace configuration, projects, clients, task names, tags, rate settings, budgets, and similar metadata.
  • Time entries, approvals, comments, attachments, time-off requests, and other content you enter into the Service.
  • Information you share when you contact support, respond to surveys, or participate in beta programs.

3.2 Information we collect automatically

When you visit our website or use the app, we automatically log certain technical data so we can protect and operate the Service. This may include:

  • Device and connection details (browser type, operating system, IP address, language, time zone).
  • Usage information (pages viewed, features used, clicks, timestamps, error logs, and performance data).
  • Basic location information derived from your IP address or device settings, where permitted.
  • Cookie identifiers and similar technology identifiers (see the “Cookies & tracking” section).

3.3 Information from other sources

If your organization connects uclock to other tools (for example, calendar systems, identity providers, or accounting platforms), we may receive information from those services according to the permissions granted. We may also receive limited information from partners, resellers, or public sources to keep our records accurate and to prevent fraud.

4.How we use your data

We use personal information for purposes such as:

  • Providing and maintaining the Service, including creating accounts and workspaces.
  • Operating core features such as time tracking, approvals, reporting, billing, and integrations.
  • Configuring and enforcing workspace-level permissions and security controls.
  • Communicating with you about the Service, including notices, updates, and support messages.
  • Monitoring and improving reliability, performance, and usability.
  • Detecting, investigating, and preventing security incidents, abuse, or violations of our terms.
  • Complying with legal and financial obligations, including record-keeping and responding to lawful requests.
  • Developing new features and insights, including aggregate or anonymized analytics.

We may combine information from different sources (for example, product logs and account details) to achieve these purposes, subject to applicable law.

5.Cookies & tracking technologies

We and our service providers use cookies and similar technologies to run the Service and understand how it is used. Cookies are small text files stored on your device. They may be:

  • Strictly necessary – required for login, security, and basic site functions.
  • Functional – used to remember your preferences, such as language or workspace selection.
  • Analytics – used to understand how people navigate the Service so we can improve it.

Most browsers allow you to delete or block cookies. Doing so may affect how the Service works. Where required by law, we will ask for your consent before using non-essential cookies.

6.Legal bases (EEA / UK users)

If you are located in the European Economic Area or the United Kingdom, our processing of personal data is based on one or more of the following legal grounds:

  • Contract – to provide the Service under the agreement we have with you or your organization.
  • Legitimate interests – for example, to secure the Service, improve features, or prevent abuse, provided those interests are not overridden by your rights.
  • Consent – for certain optional activities such as some marketing communications or non-essential cookies.
  • Legal obligations – where we must process data to comply with laws or regulatory requirements.

7.How we share information

We may share personal information in the following situations:

  • Within your organization – information in a workspace (such as time entries or project data) is generally visible to other users in that workspace according to its settings.
  • Service providers – we use trusted vendors for hosting, storage, payments, email delivery, customer support, analytics, and similar services. They may only use the data to perform work for us and must protect it appropriately.
  • Partners and resellers – where you sign up through a partner, we may share limited account and usage details with them to support your organization.
  • Legal reasons – we may disclose information if required by law or if we reasonably believe it is necessary to protect our rights, safety, users, or the public.
  • Business transfers – if we are involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction.
  • With your direction – for example, when you connect third-party integrations or request that we share data with another service.

We do not sell personal information in the ordinary sense of that term. If applicable privacy law treats certain sharing as a “sale,” we will provide the required controls in our app or through workspace settings.

8.International data transfers

uclock may process information in countries other than the one where you live. When we transfer personal data internationally, we take steps intended to ensure an appropriate level of protection, such as using standard contractual clauses or other safeguards recognized by law.

9.Data retention

We keep personal information for as long as it is needed for the purposes described in this notice, including providing the Service to you or your organization, complying with legal obligations, resolving disputes, and enforcing agreements.

Workspace owners and admins can typically delete projects, time entries, and other content from within the app. Deleting data from the user interface may not immediately remove all copies from our backup systems, but it will be scheduled for deletion according to our normal retention cycles.

10.Security

We use technical and organizational measures designed to protect personal information, including encryption in transit, access controls, logging, and backup procedures. No system is completely secure, and we cannot guarantee absolute security, but we work to keep risk reasonable in light of the nature of the data we process.

You are responsible for keeping your passwords and access tokens confidential and for configuring workspace permissions appropriately.

11.Your rights & choices

Depending on your location and applicable law, you may have rights such as the ability to access, correct, or delete certain personal information, or to object to or restrict certain processing.

If you use uclock through your employer or another organization, most requests should be directed to your workspace admin, who is the primary controller of your workspace data. We may refer requests to them where appropriate.

For direct account relationships (for example, if you are the billing contact), you can update many details within the app. You may also contact us using the information in the “Contact us” section, and we will respond consistent with applicable laws.

You can opt out of marketing emails by using the unsubscribe link in those messages. We may still send you important service or security notices.

12.Workspace admins & controllers

Where we act as a processor or service provider, the relevant customer is responsible for:

  • Determining the lawful basis for collecting and processing personal information inside uclock.
  • Providing appropriate privacy notices to their users, contractors, and clients.
  • Configuring retention, access, and security settings in the workspace.
  • Responding to individual rights requests about data that they control.

We process that data only on documented instructions from the customer, except where otherwise required by law.

13.Children’s privacy

The Service is intended for use by organizations and business users, not by children. We do not knowingly collect personal information from children under the age where parental consent is required. If you believe a child has provided us with personal information, please contact us so that we can take appropriate steps.

14.Changes to this notice

We may update this Privacy Notice from time to time. When we make material changes, we will update the “last updated” date at the top of the page and may provide additional notice (for example, in-app messages or email) where required.
